Needless to say, novels in the draft would still have been brilliant as they came out in printed books. This is precisely what happens when you draft a fantastic business email, and it ends up in the recipient’s spam folder.

Most email service providers invest a lot of money in making sure they provide users a spam-free experience. They can’t make the inbox 100% spam free because the spammers are always on the lookout for new ways. However, the intent is to keep updating the filters so they can prevent maximum spams.

This article lists out 11 reasons why your emails might be going into spam folders.

1. You Are Using the Spam Triggering Words and Phrases

Have you developed a habit of writing some super catchy phrases? like. “This is an unbelievable offer,” “You can’t resist the offer,” or simply “Congratulations” at the beginning of your email subject line or content.

If the answer is yes. It means you are trapped in the world of words that invite the spam filters and ask the emails to be flagged. Make sure you are aware of all the terms and phrases that are considered spam triggers.

2. Your Subscribers Have Bid You Good-Bye

This is another reason that your emails are going to spam. Your subscribers may not be interested in your emails and have created rules that push the emails in spam folders.

When was the last time you reviewed your email list? If you don’t update the mailing list regularly, there are chances that you are hitting the max limit of email services and being flagged as a spammer. Make sure you keep verifying and updating your email list to avoid such a situation.

3. Your Email Doesn’t Contain Any Text

You may be fond of creating fancy posters and put all your content in that image. This means your email has just image no text. This can be a red flag for the email filters. Avoid using the only image in your email content.

It makes sense to include an image that makes the email look pleasing to the eye and is relevant. However, having only picture and no text is a strict no.

4. You Are Not Focusing on Your Subject Lines

You need to make sure that the email subject line is relevant, short, and crisp. Also, ensure that you don’t use more than 50 characters in your email subject line. Anything above 50 characters is considered too lengthy.

Your subject lines should not be in ALL CAPS. If you use red-flagged words or phrases in the subject line, you can say goodbye to your email’s chances of being read. Around 60% of emails are marked as spam because of issues in the subject line.

5. Your Mailing List Has a Sudden Spike

Emails filters look at the trend of IP addresses as well. If you have a mailing list of 5,000 and one fine day, you start sending the newsletter to 50,000 subscribers that will raise suspicions for ISPs. ISP’s don’t like such a drastic spike.

6. You Have Recently Changed Your IP Address

As mentioned earlier, ISP’s hate sudden changes. If you have changed your IP address and it is still not trusted by the service provider and may start flagging your email as spams.

It is advised that if you need to change your IP address, do it gradually. So, Service providers are warmed up and can accept the change.

7. Your Email’s Size Is Way Too Large

There are two reasons you should keep a check on your email length and size. First, no one likes to read emails that are as long as a blog article. Second, email service providers don’t like emails with large size on their servers either.

It’s always a good habit to keep your email short, sweet, and straightforward.

8. Your Emails Are Way Too Short

When we say to keep your emails short and crisp, that doesn’t mean that you write two lines, format it nicely, and send it across. Anything extreme, whether it’s too short or too long will trigger an alert.

You need to strike a balance when it comes to the content and size of the email. Also, why would you want to send such a short email anyway?

9. Recipients Have Not Authorized You to Send Emails

It can be as simple as this. You never had the permission to send the emails, so your emails are not finding the right spot in the mailbox.

The worst thing you could do is buy a subscriber list and start sending emails. Do not follow this practice ever. It’s absolutely unethical and wrong. You can be blacklisted anytime.

10. The List of Inactive Subscriber Has Grown.

There are chances that your subscribers have stopped reading your newsletters. They may or may not have marked it as spam yet. The best way to deal with this situation is to filter out the inactive subscribers after a specific time; let’s say five to 6 months.

You can plan a new strategy to re-engage with them later on.

11. You Are Not Investing Enough Time and Effort.

Commercial emails require a lot of creativity. It’s possible that you are not putting enough effort into making your email content engaging enough for readers. You need to provide valuable content to your subscribers else you can’t survive this game.


Interestingly, you might be ethical and follow all the rules of the game. Still, there are good chances of your email ending up being spam. Make sure you understand all the possible reasons and rectify your mistakes as soon as possible.
